Cancellation & Refund Policy

Scope and current payment availability
This policy governs Soteria platform subscriptions. Payment collection and automatic subscription refunds are not yet enabled. Individual Account creation is free; 100% promotional access does not require payment. Organization-run event/reservation charges follow that organizer’s disclosed terms and are separate from platform subscriptions.
Cancellation at period end
For a prepaid monthly or annual platform subscription, cancellation prevents the next renewal and takes effect at the current paid-period end. Access already paid for continues through that period. There is no arbitrary early-termination penalty. Until provider billing is launched, submit the audited cancellation request from the Organization package surface or contact [email protected] with the Organization and safe subscription/order reference. We verify authority and confirm the effective date. Cancelling renewal and requesting data deletion are separate actions. No automatic recurring charging is currently active.
Refunds and remedies
Unused portions of an already-started paid subscription period are normally not automatically prorated or refunded merely because the customer voluntarily cancels. This does not exclude correction/refund of erroneous or duplicate charges, or an appropriate refund or other remedy when a purchased service is not provided. Mandatory legal rights override any contractual limitation. Contact [email protected] promptly with a safe reference and explanation; do not send full card details, passwords or recovery codes. We assess the facts and applicable rights and communicate the outcome and processing expectations. Approved refunds should return through the original payment method where reasonably possible; no unverified provider settlement deadline is promised. A chargeback or payment dispute is a separate process and must not be recorded as an ordinary voluntary refund. Reservation/event charges collected by an Organization follow its merchant terms and applicable rights, not this platform-subscription policy.
Access and information after cancellation
Cancellation does not automatically delete Persons, attendance, legal evidence or backups. Request available exports and discuss deletion/retention separately. Package expiry and capacity restrictions may affect operational access; privacy and security contact remain available.
Privacy requests
Request access, correction, deletion where applicable, consent withdrawal, or raise a privacy concern. Include the relevant Organization and a safe reference; never send passwords or recovery codes. We may verify identity and coordinate with the responsible Organization.
